Why teams leave monday CRM in 2026

It is boards all the way down. monday CRM inherits its data model from the work platform, so a deal is a row on a board with columns. That is fine until you want the things a CRM data model gives you for free: a company record that survives a contact changing jobs, an activity timeline that is not a column, a person who belongs to two accounts.

Sales depth lags. Sequences, call logging, forecast quality, and deal-stage analytics are where a purpose-built CRM has spent a decade and a work platform has not. Teams doing real outbound feel this first.

Seat pricing on a platform bought for delivery. Many firms already pay for monday for project work and then discover the CRM product is priced per seat again, for a set of users that overlaps but is not identical.

Automation limits are counted. Actions are metered per plan, which is an unusual thing to have to think about when designing a sales process, and it tends to be discovered after the process is designed.

What to check before you switch

    • Whether you need a real company record or a board row is enough
    • How much outbound the team does, and whether sequences must be native
    • Whether the same people need both the CRM and the work platform
    • What the automation limits are on the plan you would actually buy
    • Whether email and meetings land on records without manual logging
    • What the reporting has to answer that a board view cannot

The 7 alternatives, one by one

What each one is, the kind of team it fits, what it costs to start, and the one thing that will annoy you. Cheapest first.

    Lumenbase

From $24.17 per seat, $194 per month at 8 seats

Our product. A full-funnel CRM that captures email, meetings, and LinkedIn on its own, ranks who needs attention with a reason attached, and carries a won deal into delivery and invoicing on the same client record.

Fits: agencies, consultancies, and software firms where clients come back and referrals matter more than lead volume.

The drawback: we are young. The app marketplace is small next to the platform vendors, and we do not do resource planning.

    Nutshell

From $13 per seat, $200 per month at 8 seats

A B2B CRM with email sequences, forms, and reporting in the plan rather than as add-ons.

Fits: teams whose main complaint about monday was that real outbound needed a second tool.

The drawback: reporting is lighter than the platform tools, and there is nothing after the sale.

    Capsule

From $14 per seat, $224 per month at 8 seats

A calm CRM with contacts, a pipeline, and projects, priced in clear tiers.

Fits: a small team that found the board interface busier than the job required.

The drawback: thin automation and reporting once more than a handful of people sell.

    Attio

From $29 per seat, $232 per month at 8 seats

A data-model CRM where you define the objects and relationships, with the flexibility monday users like and a real CRM underneath it.

Fits: teams who chose monday for flexibility and hit the limits of a board.

The drawback: it ships blank. Somebody has to design it and then own that design.

    Freshsales

From $9 per seat, $312 per month at 8 seats

A single-product CRM with phone, email, and lead scoring built in.

Fits: teams doing outbound volume that monday cannot carry.

The drawback: the useful automation is in the upper plans.

    Pipedrive

From $14 per seat, $392 per month at 8 seats

A purpose-built pipeline CRM with the same low setup cost as monday and a proper deal data model underneath.

Fits: teams who liked the board and want the sales behaviour that goes with it.

The drawback: no post-sale account view, and nothing for delivery work.

    HubSpot

From $7 per seat, $720 per month at 8 seats

Marketing, sales, and service on one contact record, with the deepest app ecosystem in the category.

Fits: teams who wanted the everything-in-one-place promise and found monday delivers it for work, not for revenue.

The drawback: the seat minimum on Sales Hub Professional, and hub-based pricing that grows in steps.

Getting your data out of monday CRM

monday exports per board to Excel or CSV, which means the export mirrors the boards rather than a CRM data model. Plan the shape before you export: decide which board is companies, which is people, and which is deals, and how the links between them are represented, because a naive import produces three flat lists with nothing joining them. Attachments and updates on items usually need to be handled separately.

Moving to Lumenbase runs through Portage, which scans the source, maps fields and owners, shows you a preview with record counts, then imports in the background with rollback. It comes with the plan rather than as a paid service.

    How we compared

Prices come from each vendor's own pricing page, on whichever basis the table is set to: annual-billed or month-to-month. A basis is never calculated from the other, so a vendor publishing only one shows a dash on the other rather than an estimate. The 8-seat column always uses the cheapest plan in a vendor's professional band, and a vendor with no published price for that plan is left blank instead of being quoted from a cheaper tier. This page lists 7 CRMs, 7 of them priced on the default basis. Pricing was refreshed 31 August 2026. See the CRM feature comparison for the full method, capability data, and treatment of flat and quote-only plans.
