    Setup, in three steps

    Settings, then Integrations, then Microsoft. Sign in and grant access. Some tenants require an administrator to approve the application first.

    Choose what syncs

    Select the mailbox and calendars, and set the default visibility for synced conversations.

    Admin consent is the step that catches people

    Many Microsoft 365 tenants require an administrator to approve a third-party application before any user can connect it. If the sign-in ends with a message about needing approval, that is what happened, and it is a tenant policy rather than a fault.

    Worth finding out before a rollout rather than during it: ask whoever administers your tenant to approve the application, then have people connect.

    Shared and delegated mailboxes

    A shared mailbox such as an enquiries address is often where the first contact with a client actually lands, and it is usually nobody personal inbox. Connect it deliberately rather than assuming individual mailboxes cover it, or the first message in every relationship will be missing.

    Mixed Google and Microsoft teams

    Agencies and consultancies frequently end up with both, usually after a merger or an acquisition. Both connect to the same workspace and both feed the same records, so there is no need to standardise the company on one email vendor before adopting a CRM.

    This is the practical argument against a CRM that lives inside one mail client: it makes the email vendor decision and the CRM decision the same decision.
