What is a CRM? It is a shared system for contacts, companies, conversations, deals, tasks, and follow-ups. CRM stands for customer relationship management. This guide explains how it works and when a team has outgrown a spreadsheet.
What a CRM means
A CRM is a shared record of the people and companies your team works with. It can hold leads, customers, partners, and other business relationships. Each record connects contact details with conversations, deals, tasks, and notes.
A spreadsheet and shared inbox can cover a small contact list. Problems start when several people need the same history, follow-ups depend on memory, or a teammate leaves with context that was never recorded.
What a CRM does
- Keeps your contacts. Name, job, company, email, phone, and any extra fields your team wants to add.
- Tracks your chats. It saves emails, calls, and meetings. So anyone can see what was said last.
- Handles your deals. Each deal moves through steps like qualified, proposal, negotiation, and closed. You can see all of them at a glance.
- Reminds you to follow up. It gives you tasks, reminders, and AI notes. So nothing slips by.
- Shows you how it's going. How many deals are at each step, what's closing, and what's stuck.
Where a sales CRM fits
A sales CRM manages known contacts and active opportunities. Marketing platforms handle campaigns and lead generation. Support tools handle tickets and service requests. Some suites combine these jobs, while focused CRMs connect to separate tools.
When does a team need a CRM?
Here are the signs. More than one person works with the same contacts. Deals are slipping because you forgot to follow up. You can't quickly tell which deals are live and which are stuck. Or someone left and took all their notes with them.
If none of these sound like you yet, a spreadsheet is probably still fine.
