    What is Lumenbase?

    Lumenbase is a CRM platform for managing your sales pipeline from initial lead through deal closure to ongoing account management. This guide covers the core functions and how to use them.

    Ways to interact

    Day-to-day surfaces

    Feed: your live action stream

    The Feed is where Lumo surfaces work as it arises: prioritized contacts, AI recommendations, and message drafts for you to approve. The Feed pulls from Lists with a Codex linked and your open Deals.

    • Live cards summarizing who needs attention and why
    • Contact rows with AI recommendations and optional message drafts
    • Click Message to edit and send; click row to view contact or deal
    • Approve or dismiss each suggestion as it appears

    Dashboard

    Your home screen showing key metrics and configurable modules.

    • Click Customize to add/remove dashboard modules
    • Drag modules to reposition them on your dashboard
    • Resize modules by dragging the bottom-right corner
    • View pipeline metrics, tasks, activities, and funnel flow at a glance

    Core Data Entities

    Records you manage

    Contacts

    Individual people you interact with. Each contact can be linked to a company. Navigate to Contacts, click Add Contact, use filters to segment, and click any row to open details.

    Companies

    Organizations you do business with. Companies can have multiple contacts and deals. Companies automatically become Accounts when a deal is won.

    Deals

    Sales opportunities with monetary value, stage, and expected close date. Navigate to Deals for the pipeline Kanban, drag deals between stages, and link to companies and contacts.

    Tasks

    Action items with due dates, assignees, and optional links to contacts/companies/deals. Tasks appear in the dashboard and on related entity timelines.

    Invoices

    Revenue records linked to companies. Used for historical revenue tracking and forecasting.

    Pipeline Stages

    The pipeline is organized into four main areas (starting at Stage 0), each with customizable stages. Learn more in the Customer Lifecycle Funnel Guide.

    Lists

    Lists of contacts with Codexes applied to warm them up before active lead development (via your favorite outreach platform). See Lists guide and Codex guide for details.

    Leads

    Early-stage prospects. Configure lead stages in Settings → Workspace → Configuration → Funnel stages. See Leads guide for details.

    Deals

    Active opportunities. Configure deal stages in Settings → Workspace → Configuration → Funnel stages → Deals pipelines. See Deals guide for details.

    Accounts

    Companies with won deals. View account health, revenue history, and manage ongoing relationships. See Accounts guide for details.

    Operations & tools

    Mail & Calendar

    Integrated email and calendar when connected to Gmail/Google Calendar. See Email Integration Setup for connection steps.

    • Connect your Google account in Settings → Personal → Integrations
    • View and send emails from the Mail section
    • Emails automatically link to contacts based on email address matching
    • Calendar events sync bidirectionally with Google Calendar

    Analytics

    Build custom dashboards and charts to analyze your data.

    • Navigate to Analytics in the sidebar
    • Create dashboards and add charts using the chart builder
    • Select entity types, metrics, groupings, and filters
    • Drag and resize charts within dashboards

    Automations

    Create automated workflows triggered by events or schedules. Read the Automations guide for examples.

    • Navigate to Automations in the sidebar
    • Click Create Automation to open the visual flow builder
    • Define triggers (record events, schedules, webhooks, or manual)
    • Add filter nodes for conditions and action nodes for operations
    • Use the visual canvas to drag and connect nodes to build your workflow

    Importing Data

    Import contacts, companies, deals, and invoices from CSV or Excel. See Import Data from CSV/Excel for steps.

    • Navigate to System Operations → Data Hub → Import
    • Start with Smart import, or pick a record type, then upload your file
    • Map source columns to Lumenbase fields
    • Configure duplicate handling and link fields
    • Large imports process in the background. Check the History tab for status

    Customization

    Custom Fields

    Add custom fields to contacts, companies, deals, tasks, and invoices. Configure in Settings → Workspace → Configuration → Data fields.

    Pipeline Stages

    Define your own deal pipeline stages with custom names, colors, and order. Configure in Settings → Workspace → Configuration → Funnel stages → Deals pipelines.

    Field Options

    Customize dropdown options for fields like Industry, Contact Source, and Role Category. Edit them on the field itself in Settings → Workspace → Configuration → Data fields. Company Band has its own tab, Configuration → Company bands.

    Workspace Theme

    Admins can set a custom color theme for the workspace. Configure in Settings → Workspace → Profile → Company Profile.
